As the school year begins, families adjust their routine.
School supplies are purchased, backpacks are ready, and children go back to school fully prepared on day one. 

The same goes for businesses preparing for Q4. A little planning in September can help you finish the year strong.

Before calendars fill up and the pressure builds, review this checklist and get your things in order.

#1: Review your Q4 priorities

You know what the company’s top priority is before year-end. But if you ask this question to three people on your team, will they answer in the same way? 

Most business owners assume everyone is on the same page, but sometimes, pages are skipped, or someone is a full chapter behind!

Now is the right time to check: 

  1. What projects are we currently working on?
  2. What must absolutely get done before the year is over?
  3. How far are we to hit our sales/client targets?
  4. Is everyone working towards the same goal?

Have these conversations while you still have some breathing room. 

#2: Check your tech

What if your laptop decides to stop working a day before a very important client meeting? Would you be able to replace it with a backup device immediately?

Technology expenses have a habit of showing up at the worst possible time. Make sure you are prepared. Ask yourself:

  1. Is there outdated equipment that is affecting productivity?
  2. Do we need to order new computers or other hardware before the end of the year?
  3. Are any warranties or support agreements expiring soon?
  4. What IT expenses are already committed for Q4?
  5. Do we have enough budget set aside for unexpected repairs or replacements?
  6. Are we still paying for software or services we no longer use?
  7. What can wait until next year?

Identify gaps now before they turn into urgent problems in December. 

#3 Is your team ready?

There’s always a shift in energy after summer. 

People might have left, other members joined, responsibilities change. By September, you might have a team that looks the same on paper, but operates differently in practice. 

Take a quick look around:

  1. Does every member of the team understand their current responsibilities?
  2. Does everyone have the right level of access to files, applications, and systems?
  3. Are shared accounts or passwords still being used where they shouldn’t be?
  4. Does your team know what to do in case of a cyberattack or an unexpected IT disruption?

When the final months of the year arrive, and it’s crunch time, everyone needs to know where they stand. 

#4 Prepare for the worst

Most small business owners associate “the worst” with natural disasters or power outages. 

But an employee could accidentally install malicious software on the company’s server, and important data gets deleted. Or you fall victim to a ransomware attack, and your operations grind to a halt. 

If an unexpected situation arises tomorrow, do you know what to do? Here’s what really matters:

  1. Are there any outstanding security alerts or vulnerabilities that need attention?
  2. Do we need to update or renew any security tools?
  3. When was the last successful backup? Was it tested?
  4. Are critical business systems and data included in our backup strategy?
  5. Who is the first responder in the event of a cyberattack? 
  6. Do customers and stakeholders need to be informed?
  7. Which systems need to be restored first?
  8. How long does it take for operations to return to normal?

Communication and clarity now is better than panic and confusion during an actual disruption.

Q4 IT Readiness

September is the right time to sit down and review:

  1. Where is your business headed? Do you have the tech to support it?
  2. Are there any operational gaps or hardware decisions that need to be addressed?
  3. What’s your recovery plan? Does your team know how to use it?

The companies that finish the year strong are the ones that treat IT as a part of their business strategy, not just a support line.
