This Bottleneck is Killing Your Productivity (It’s Not Your People)

by | Mar 30, 2026

As a business owner, you’ve had this thought:
“Why does everything take longer than it should?”

It’s not because people are lazy or don’t care.
It’s because every process has unecessary steps that create friction.

This friction is the difference between “we’re moving forward” and “we’re stuck”.

In this blog, we’ll reveal three hidden bottlenecks that are slowing you down and how to fix them.

#1: Apps not mingling together

Here’s the situation: Sales enters a new customer into the CRM. Billing re-enters the information into accounting. Marketing copies and pastes their email into the mailing list.

Nobody wants to do this, yet it’s necessary as the apps don’t share data, so humans need to fill the gap.

Work is duplicated. The chances of error are increased. People are wasting time.

Let’s do a calculation:

One person spends 5 minutes a day retyping data. It’s no big deal, right?
Now multiply that by another 10 people;

5 minutes x 10 people = 50 minutes a day
50 minutes x 5 days = 250 minutes a week
= 4.16 hours a week

That’s half a day every week lost in copy-paste work!

And you thought your employees are slow?

#2: Slow, Unstable Network

This problem is a bit harder to detect.

Files take 10 seconds to open instead of 2. Video calls glitch. People restarting their laptops every day “just because”.

A few seconds here and there don’t seem like much.

But these tiny cuts are what make your business bleed time.

It’s also what drains momentum and morale.

Imagine: Staring at a loading bar, smiling awkwardly at a customer sitting in front of you.

Network drag turns good employees into frustrated, tired employees.

#3: Access Control (or better said, Chaos)

Real-life example:

Being diligent, you give the password to your most trusted employee, John.
Mary needs access to that folder so she emails John, “I need the login for ___”.
Only John is away on holiday for three weeks!

Mary hits a dead end.

You are doing the right thing by limiting the number of people who have access to the company passwords.

But if access is messy, work will stop, sensitive data gets shared through unsafe ways, and you’re dependent on a single point of failure.

This is very risky

Finding the Bottlenecks

Want to find your hidden bottleneck? Ask your team these three questions:

  1. What’s one thing you do every day that feels like a waste of time?
Don’t give suggestions. Just listen. You’ll probably hear the same things from different people.
  2. Where do you get stuck waiting for something or someone?
This reveals access problems and slow handoffs.
  3. What’s one system that makes your job harders that is has to be?
This exposes technology that is creating friction.

It only takes 10 minutes to ask these questions.
Ask a handful of your employees in a week.
You’ll have a list of bottlenecks by Friday.

But the hard part isn’t finding them. It’s fixing them.

Fixing the Bottlenecks

Apps don’t talk to each other? Integrate them.
Most tools can connect natively, others through AI platforms like Zapier

Slow network? Upgrade it.
Sometimes it’s old equipment. Sometimes it’s just too many devices on little bandwidth.

Access chaos? Build a permission structure.
Document who has access to what. Use a password manager to share passwords securely.

Yes, it’s boring. Yes, it’s necessary

When the road is fixed, traffic moves faster.
Same thing with your infrastructure: fix the one bottleneck, your whole team works smoother.

Trust us, you’ll wonder why you’ve waited so long.

An MSP removes Drag

Most business owners know what is slowing them down. They just don’t have time to diagnose it and implement fixes while also running the business.

A good Managed Service Provider will:

  • Integrate tools so data flows automatically instead of manually
  • Stabilize your network so cloud tools feel instant
  • Set clean access rules so people aren’t stuck waiting
  • Automate handoffs so work moves without chasing approvals
  • Build systems that match how your industry operates

Is friction slowing you down?

If the environment stopped working against your people, Q2 is the time to fix it.
