6 Questions To Ask Your IT Provider Every Quarter

When was the last time you had a conversation with your IT provider that wasn’t about fixing a problem?

For many businesses, the relationship is almost entirely reactive

Someone can’t log in. A laptop stops working. The internet goes down. 

A support ticket is opened, the issue gets resolved, and everyone moves on until the next problem appears.

The trouble with that approach is that it assumes everything is fine as long as nothing gets broken.

Technology doesn’t work that way.

Your business changes throughout the year. New employees join, software gets updated, devices age, and cyber threats continue to evolve. If nobody takes the time to step back and review the bigger picture, small issues have a habit of growing into expensive ones.

That’s why a quarterly IT review is worth making part of your routine. It gives you a chance to look beyond the day-to-day support requests and ask whether your technology is still supporting the business the way it should.

Question 1: What Should We Be Concerned About Right Now?

Every business has risks. The important thing is knowing what they are before they become someone else’s problem.

Ask your IT provider what they’ve seen over the last few months. 

  • Has there been unusual login attempts? 
  • Are there devices running outdated software? 
  • Are there user accounts that should have been removed but are still active?

The answer shouldn’t be a quick “everything looks good.”

A good IT partner should be able to explain where your biggest risks are today, whether those risks are changing, and what they’re doing to reduce them.

Question 2: If We Lost Our Data Tomorrow, How Quickly Could We Recover?

Most businesses feel reassured once backups have been set up.

The better question is whether those backups have actually been tested.

Imagine arriving at work tomorrow to discover a server has failed or ransomware has locked important files. 

  • Would your team know exactly what to do?
  • How long would it take to restore your systems?
  • Would every file come back, or only some of them?

Those answers shouldn’t be based on assumptions.

Ask when your backups were last tested, whether cloud applications are included, and how long a full recovery would realistically take.

Backups only provide peace of mind when they’ve been proven to work.

Question 3: What’s Slowing Our Team Down?

Not every technology issue creates an emergency.

Sometimes it’s the little things that quietly cost the business the most.

  • An application that takes longer to open than it used to. 
  • A shared drive that feels slower every month.
  • Video calls that regularly freeze. 

None of these issues are dramatic enough to trigger an urgent support request, but together they chip away at productivity every single day.

Your IT provider has visibility into recurring support requests and system performance. Ask whether they’re seeing patterns that suggest your technology needs attention.

Sometimes a relatively small improvement can save your team hours every week.

Question 4: Are We Still Meeting Our Compliance Requirements?

Compliance isn’t something you check off once and forget about.

Whether your business operates under HIPAA, PCI DSS, GDPR, cybersecurity insurance requirements, or another industry framework, expectations change over time. At the same time, your own business changes too. New software is introduced, employees come and go, and internal processes evolve.

A quarterly review is a good opportunity to ask whether anything has changed since your last conversation.

  • Are your policies still current?
  • Does your team need additional security awareness training? 
  • Have any new requirements been introduced that affect your business?

Finding those answers now is far easier than discovering a gap during an audit or after a security incident.

Question 5: What Technology Investments Should We Plan For?

One of the biggest benefits of regular IT reviews is that they help you avoid surprises.

Your provider should already know:

  • Which computers are approaching the end of their life.
  • Which software licences are due for renewal.
  • Whether any infrastructure upgrades are likely to be needed in the months ahead.

Instead of reacting when something fails, you can build those costs into your budget and make decisions before they become urgent.

That makes planning easier and usually prevents more expensive emergency purchases later.

Question 6: Is There Anything We’re Missing?

This is often the question that leads to the most valuable conversations.

Technology moves quickly, and it’s easy to focus so much on keeping systems running that opportunities for improvement are overlooked.

Ask your IT provider whether there are tools, security practices, or automation opportunities that could make your business more efficient. Find out what they’re recommending to businesses of a similar size and whether there are practical improvements worth considering over the next year.

You don’t need to adopt every new technology that comes along, but you should know where your business stands.

A Quarterly Conversation Can Prevent Bigger Problems Later

A good IT provider should do far more than respond to support requests.

They should help you understand where your technology is performing well, where it could be improved, and what deserves attention before it affects your business.
