Using Quickbooks

Getting Started

You have 2 options as you get started with QuickBooks Online.

1. Start with a brand new QuickBooks file.
2. Migrate your data from QuickBooks desktop.

If you are starting a brand new QuickBooks data file following the setup wizard should guide you through the process. You still have the ability to import information that you may have in other applications such as your account list, customers, vendors, and items using Excel or CSV files. Here is a link to get you started with importing data from Excel.


If you are already using QuickBooks desktop, you can import your data directly into QuickBooks Online. Depending on the complexity of your QuickBooks setup, this can take anywhere from an hour to several hours to complete. Here’s a link to get you started with migrating your data from QuickBooks desktop to QuickBooks Online.

Activating QuickBooks Online Payroll

You may activate your QuickBooks Online Payroll subscription during the QuickBooks Online setup or any time after you have completed activation. If you’d like to activate payroll during the QuickBooks Online setup, follow the prompts to select the version of payroll level of service you’d like, and enter in your payment information.  Please note that these services will be billed directly by Intuit rather than Gravity IT Solutions.

How to set up QuickBooks Online Payroll after set up:

1. From inside QuickBooks Online, click Payroll on your left navigation pane.
2. Then click on the Employees tab > Get Started
3. Select your payroll option and click Try Now.
4. Follow the prompts to enter your payment information.


You should receive your monthly invoice and your card on file will be charged by the 5th of each month. We will contact you if there are any billing issues.
